WRKROOT Electronic Signature Consent

1. Consent To Electronic Signatures And Records
By creating an account, using WRKROOT, clicking an acceptance button, typing your name, checking a box, signing electronically, submitting a form, uploading a signature, completing an attestation, approving a workflow, or otherwise indicating acceptance through WRKROOT, you consent to use electronic signatures and electronic records.
You agree that electronic signatures, electronic initials, typed-name attestations, checkbox acknowledgements, clickwrap acceptance, button-based acceptance, OTP-supported acceptance, drawn signatures, uploaded signatures, third-party e-signature provider signatures, and similar electronic actions may have the same legal effect as handwritten signatures and paper records to the maximum extent permitted by law.
You agree not to challenge the validity, enforceability, admissibility, or legal effect of an electronic signature or electronic record solely because it is electronic.
2. Covered Records And Workflows
This Consent applies to any WRKROOT workflow requiring signature, acceptance, consent, confirmation, acknowledgement, authorization, attestation, or approval, including:
- Client contracts.
- Talent contracts.
- Engagement agreements.
- Order forms.
- Billing authorizations.
- Autopay authorizations.
- Invoice confirmations.
- Payment method authorizations.
- Policy acknowledgements.
- Privacy, communications, monitoring, assessment, attendance, KPI, credential, and marketplace consents.
- Support confirmations.
- Assessment attestations.
- Credential attestations.
- Attendance attestations.
- Time off acknowledgements.
- KPI attestations.
- Confidentiality obligations.
- Data processing, healthcare, HIPAA, BAA-related, security, or compliance acknowledgements.
- Any other WRKROOT document, form, workflow, or platform action that requires acceptance.
WRKROOT may decide which documents and workflows are eligible for electronic signature and may change supported methods at any time.
3. Accepted Signature Methods
WRKROOT may accept one or more electronic signature methods, including:
- Typing your name.
- Checking a box.
- Clicking "I agree," "Accept," "Submit," "Approve," "Acknowledge," "Authorize," "Sign," or similar buttons.
- Drawing a signature.
- Uploading a signature image.
- Using OTP or verification codes.
- Using email links or platform links.
- Using third-party electronic signature providers.
- Completing a platform attestation.
- Submitting a form from an authenticated account.
- Taking any other electronic action that WRKROOT reasonably treats as acceptance or signature.
WRKROOT may treat account login, authenticated platform activity, IP address, device/browser information, timestamps, audit logs, signature hashes, and related records as evidence of signature, acceptance, authority, intent, and attribution.
4. Signature Records And Audit Evidence
WRKROOT may create, store, process, preserve, and use electronic signature records and audit evidence, including:
- Signer name.
- Signer title.
- Signer email.
- User account.
- Party type.
- Entity or company represented.
- Typed-name signature.
- Signature image or other signature input.
- Checkbox or button acceptance.
- Attestation language.
- IP address.
- User agent.
- Device/browser metadata.
- Timestamp.
- Signature hash.
- Signed document PDF.
- PDF hash.
- Signature certificate.
- Contract status.
- Viewed, sent, signed, declined, expired, or completed timestamps.
- Audit trail and related platform records.
These records may be used to prove identity, intent, attribution, acceptance, authority, document integrity, timing, enforceability, compliance, billing, audit, dispute resolution, fraud prevention, and legal claims.
5. Your Authority And Responsibility
You are responsible for ensuring that:
- You have authority to sign, accept, acknowledge, or approve the document or workflow.
- If signing for a company, client, talent entity, or other organization, you are authorized to bind that entity.
- Your legal name, title, email, company, billing, account, and signature information are accurate.
- You review documents before signing or accepting them.
- You understand the legal effect of your signature or acceptance.
- You keep your account credentials secure.
- You do not allow unauthorized persons to use your account or sign on your behalf.
WRKROOT is not responsible for unauthorized signatures, false authority, inaccurate titles, incorrect legal names, shared accounts, compromised accounts, signer mistakes, failure to review documents, or internal disputes over authority, except where required by law or a separate written agreement.
6. Access To Electronic Records
By using WRKROOT for electronic signatures or electronic records, you confirm that you can access electronic records and that you have access to hardware and software reasonably sufficient to:
- Receive electronic documents and notices.
- Open and view web pages and platform records.
- Open and view PDF or similar document files.
- Receive email or platform notices.
- Download, save, print, or store electronic records for your own files.
- Access signed documents through available WRKROOT workflows or copies provided by WRKROOT.
If your ability to access electronic records changes, you must promptly notify WRKROOT.
WRKROOT may update technical requirements as technology, platform features, vendors, or legal requirements change.
7. Paper Copies
You may request a paper copy of certain electronically signed records by contacting info@wrkroothr.com.
WRKROOT may provide paper copies where reasonably available and legally required. WRKROOT may charge to be finalized for paper copies, mailing, retrieval, administrative time, or related costs unless prohibited by law or a separate written agreement.
WRKROOT may decline paper-copy requests where records are unavailable, already provided, not legally required, confidential, restricted, archived, subject to legal hold, or inappropriate to disclose to the requesting party.
8. Withdrawal Of Consent
You may withdraw consent to future electronic signatures and electronic records by:
- Using platform settings where WRKROOT provides a withdrawal or preference option.
- Sending written notice to info@wrkroothr.com.
- Sending legal notice to info@wrkroothr.com or WRKROOT HR SOLUTIONS LLC, 30 N Gould St Ste N, Sheridan, SHERIDAN COUNTY, WY 82801 USA.
Withdrawal of consent:
- Applies only after WRKROOT receives and has a reasonable time to process the withdrawal.
- Does not affect signatures, contracts, records, authorizations, consents, acknowledgements, or transactions completed before withdrawal.
- Does not cancel amounts owed to WRKROOT.
- Does not require WRKROOT to delete records it may retain for legal, billing, contract, tax, accounting, audit, dispute, fraud prevention, security, compliance, or legitimate business reasons.
- May prevent WRKROOT from providing services or completing workflows that require electronic signing or electronic records.
If you withdraw consent, WRKROOT may suspend, restrict, pause, or terminate accounts, workflows, contracts, billing processes, engagements, or services that require electronic signatures or electronic records.
9. Retention Of Signed Records
WRKROOT may retain electronically signed documents, signature records, certificates, PDFs, hashes, audit logs, related communications, and supporting records for as long as WRKROOT determines reasonably necessary for:
- Contract enforcement.
- Billing and collections.
- Tax and accounting.
- Legal compliance.
- Audit.
- Security.
- Fraud prevention.
- Dispute resolution.
- Healthcare, HIPAA, BAA, client, or regulatory obligations where applicable.
- Legitimate business purposes.
WRKROOT may retain these records even after account deletion, account termination, engagement completion, contract expiration, or withdrawal of consent.
10. No Requirement To Use Paper
To the maximum extent permitted by law, WRKROOT may require electronic acceptance, electronic records, or electronic signatures as a condition of using certain platform features, entering certain workflows, signing contracts, authorizing billing, participating in engagements, or maintaining an active account or relationship.
If a law or separate written agreement requires a non-electronic process for a specific record, WRKROOT may provide or require a different process for that record.
11. Changes To This Consent
WRKROOT may update this Consent from time to time. The updated version will be indicated by the "Last updated" date above. WRKROOT may provide notice through the website, platform, email, in-app notification, dashboard notice, or another reasonable method.
Your continued access to or use of WRKROOT after an updated Consent becomes effective means you accept the updated Consent.
